Rental Agreement

Reservations and Damage Deposit:

1.     Inventory availability is guaranteed after 25 % deposit or payment in full is received.

2.     Final payment and final count due 30 days prior to event date.

3.     A Nonrefundable Rental Fee (Damage Waiver) will be added to invoices.  

4.     Signed rental agreement returned.

 

Rental Period:

The rental period is typically per 24 hours with an allowance for delivery and pick-up on either side of the event date. Please inquire about rental periods that exceed the typical rental period.

Payment:

Checks are the preferred method of payment. Credit/Debt Card transaction are available upon request.

Non-Payments: Please note: if full payment of the order is not received 30 days before the delivery or pick up date, it is assumed that the order has been cancelled.

Cancellation Policy:

⦁ Automatic 25% is non-refundable from date of deposit. Please note that 25% deposits is non-refundable and non-transferable, and will be applied as a credit to the final payment.

⦁ Cancellations can be made 30 days prior to the event. Cancellation within 30 days of the event date will incur a 100% cancellation fee.

⦁ Any special orders on linens (those not in stock) will require a non-refundable deposit to obtain them.

Delivery and Pick-up:

1.     You do have the option to pick-up and return some items yourself.

2.     Delivery and pick-up will be charged a nominal delivery and pick-up fee.

3.     All rental items will be delivered to a conveniently located ground floor location accessible to a truck. The items will be picked up from this same location. Special delivery arrangements can be made with us.

4.     Delivery and pick-up does not include setup or tear-down. (This service is available, however needs to be determined prior to the event for an additional fee!)

 

Equipment Care:

1.     You are financially responsible for all damaged or lost items you rent from Rent Wenatchee Party Rental; items will be charged at the full replacement value. We double count each order to avoid mistakes. We request you count your order upon taking possession, as you are accepting the count in the contract and are FULLY responsible.

2.     Do not stand on the chairs as injury and damage can occur; and hot pans will damage plastic tabletops.

3.     All equipment is delivered clean and ready to use.

4.     Rented Items should be returned to the delivery/pick-up location clean and wiped off.

5.     Dishware scraped free of food, rinsed with hot water, and placed in the delivery crates.

6.     Glassware and flatware returned to the delivery racks and containers. 

7.     Linens must be free of food and dry to prevent staining and mildew.

8.     A cleaning fee may be added for dirty items.

Cleaning Fees

Chairs $0.25 each Tables $1.00 each Plates/Glassware $0.20 each

Outdoor Theater

Projector and DVD player need to stay dry and out of direct sunlight. Store properly after use.

20 Ft Blow up screen- It is the customers responsibility to install properly and secure with provided rope and stakes. Screen is not to be used in extreme weather, strong winds, lightning, and rain. Screen needs to remain free of grass stains and dirt- take down with care.

TENTS

Client understands that tents are temporary structures designed to provide limited protection from weather conditions, primarily sun or rain. However, there may be situations, particularly those involving strong winds and lightning, in which tents will not provide protection and may even be damaged or blow over. Evacuation of tents to avoid possible injury is recommended when severe weather threatens the area where the tent is erected. People must leave the tents and not seek shelter in the tents during such conditions. • If excessive winds occur, it is the client’s responsibility to take down the tent IMMEDIATELY.  Rent Wenatchee may dismantle any equipment that has been installed to ensure safety of all involved. 

No cooking, BBQ or open flame in or under the tent. Food warming in chaffing dishes is permitted.

 

Dance Floor

A pre-event inspection may be required. Dance floors need to be set up on a hard-flat surface and underlayment may be needed for an additional fee. The floor can be use indoors or outdoors. However, products containing acetone will damage the finish.

PATIO HEATER- Customer are responsible for Understanding and Operating Patio Heater prior to use.

Safe Surroundings

Patio heaters are only suitable for use in outdoor areas, and care should be taken to ensure that your heater has adequate clearance and safe surroundings to prevent fire hazards.  NEVER place heater under tent or covered area.

Outdoor areas are defined as open or semi-open spaces and should have proper ventilation and air circulation to prevent carbon monoxide buildup, which is a by-product of combustion.  Patio heaters are not designed to radiate intense heat over long distances; instead, they heat nearby objects and people. If your heater is located too close to certain materials, it can become a fire hazard.

Keep patio heaters away from combustible materials. This includes planters and potted plants, outdoor textiles and grass, but it also includes flammable items such as propane tanks used for grills or lighter fluid.

Never place anything above or below your patio heater and always place it on top of a solid, level, stable surface.

Fuel Safety

Propane-operated patio heaters To keep your propane tank safe and performing optimally, always close the gas tank valve when the patio heater is not in use as well as turning off the switch. Store spare tanks away from open flames and heated areas.  Keep tanks in the shade and stored out of direct sunlight. Your tank should never be stored indoors.

Disconnect cylinders before you go. Always carry the cylinder in an upright position with the safety valve on top. Never put a propane cylinder in a closed vehicle.

Tilt Reduction

Patio heaters can be top-heavy and put them at risk of tilting and toppling over. Even when the heater is turned off, residual heat from the reflectors or tubes can become a fire hazard if exposed to flammable material.  Heaters should not be used in extreme weather.

HOLD HARMLESS AGREEMENT.

Customer shall defend, indemnify and hold harmless Rent Wenatchee, its employees, agents, and subsidiaries, from and against all claims, liabilities, losses, damages to property or otherwise, and expenses, of every character whatsoever, resulting from the actions, negligent or otherwise, of Customer, Customer's employees and agent of Customer or Customer subcontractor. No warranties implied or expressed. The indemnities included in this exhibit shall include reasonable attorneys' fees paid by Rent Wenatchee in defending suit and actions involving liability covered by the indemnification provision in this paragraph. 

COMPLIANCE WITH LAW and SAFETY REGULATIONS.

As Rent Wenatchee has no control over the use of rented equipment by Customer, Customer agrees at its sole expense to comply with all municipal, county, state, and federal laws, ordinances, and regulations, including the Occupational Safety & Health Administration Act of 1970 which may affect the equipment while it is in the possession of and use by the Customer. Customer shall not permit any person who is not legally qualified to use the equipment. 

Rent Wenatchee Party Rental assumes no liability for the use or misuse of items rented by you or your agent.

The parties acknowledge and agree that this Contract may be executed by electronic signature, which shall be considered as an original signature for all purposes and shall have the same force and effect as an original signature. Without limitation, “electronic signature” shall include faxed versions of an original signature or electronically scanned and transmitted versions (e.g., via pdf) of an original signature.  By making payment you confirm that you have read this rental agreement and agree to the conditions set forth.

DISPLAY RIGHTS.

We reserve the right to use photographs from your event solely for promotion, display,

advertisement, website and publications, unless you explicitly provide in writing that such use is prohibited.
